Hi Mira,

Thank you for taking the time to talk with me today about the Operations Analyst role at Wrenfold Cycles. It was good to hear how you see the work.

I especially enjoyed hearing about how the team is rebuilding its onboarding. It made me even more excited about the role.

If you need anything else from me, just say so. I look forward to hearing about next steps.

How to use it

Here is how to write your thank you email in a minute.

The email on the page changes as you type, so you can try every stage and tone before you copy it.

  1. Choose which email this is: after a phone screen, after a panel, after a final round, or a second follow-up when nobody has replied.
  2. Choose a tone. Warm suits most workplaces, formal suits a conservative field or a very senior reader, and brief suits a short call.
  3. Type the job, the company and the names of the people who interviewed you.
  4. Finish the sentence about one thing you talked about. This line proves the note is yours, so use a detail only that conversation had.
  5. Add how you can help if you have a line ready, type your name, and copy the subject and the email, or open it in your mail app.

These three examples show the generator at work.

A phone screen gets a short note the same evening.

Sunniva Brackenlow spent half an hour on the phone with Mira Vance about an operations job. She picks After a phone screen and the warm tone, types what Mira said about onboarding, and sends the note that evening. The subject becomes "Thank you for the Operations Analyst call" and the email runs 89 words.

A panel gets one note that names each person.

Ottilie Fenwright met three people at Larchway Studio. She picks After a panel interview and the formal tone, and types all three first names in the interviewer box. The greeting becomes "Dear Mira, Joaquin and Odile," and the note thanks the whole panel.

A week of silence gets one short follow-up.

Pell Morrow heard nothing a week after his thank you. He picks A second follow-up and the brief tone. The subject becomes "Checking in on the Warehouse Supervisor role" and the email runs 43 words, so it asks about timing and nothing else.

These eight sample emails cover the common cases.

Open the one that matches your interview, change the names and the detail, and send it. The people and companies in them are invented.

These are the mistakes that make a thank you email forgettable.

  • The note could have been sent to anyone.

A thank you that names nothing from the conversation reads as a form letter. Add the one thing you talked about, in your own words.

  • The note arrives a week late.

The best time is the same day or the next morning. If you missed it, send it anyway and keep it to three short paragraphs.

  • The note asks about pay or benefits.

Save pay, a start date and benefits for the offer conversation. A thank you that asks for them reads as a negotiation.

  • The interviewer's name is spelled wrong.

Copy the name from the calendar invite or their signature. A misspelled name in the first line undoes a careful note.

  • The follow-up turns into a campaign.

One follow-up a week after your thank you is enough. If there is still no answer, wait for them to write.

Questions

These are the questions people ask.

The answers worth having before, and after, you use the tool.

How soon should I send a thank you email after an interview?

Within a day: the same evening or the next morning. If you missed that, send it anyway. A late note with one specific detail from the conversation still helps, and no note helps nobody.

How long should a thank you email after an interview be?

Three short paragraphs and under 150 words: a thank you, one thing you talked about, and a line about what happens next. It should read on a phone without scrolling.

Should I send one email to a panel or one to each person?

If you have each person's address, send each of them a short note and change the detail you mention. If you only have the recruiter's address, send one note to the recruiter and ask them to pass your thanks to the panel.

What should the subject line of a thank you email say?

Thank you plus the job, such as Thank you for the Operations Analyst interview. The job in the subject helps the interviewer find the thread when they compare candidates.

What if I send a thank you email and hear nothing?

Wait about a week, send one short follow-up that says you are still interested, and then stop. The last stage in the generator writes it.

Is anything I type sent anywhere?

No. The email is built in your browser from sentences a person wrote. Nothing you type leaves this page, and there is no account to create.
